a) If existing email content is wanted put in request to DNI to download mailbox of departed employee in a .pst file and save to a new folder on Users (O:) network drive.
i) If emails contains internal confidential information (e.g. Director of HR would have personnel related emails) request a password for the file
b) Once .pst file is available, successor of departed employee completes the following steps:
i) From Outlook, select File tab, Open & Export, Open Outlook Data File
ii) Select Users (O:) drive, folder where DNI saved file, select .pst file
iii) Enter password provided by DNI if applicable
(1) Window will say “Cannot display the folder….” ignore
iv) In the left pane with all the folders, scroll to bottom and select “Outlook Data File”, enter password again
c) Click the arrow left of Inbox to view all subfolders
